Job Title: Executive Assistant
Organization Type: Nonprofit
Hours: 30-40 hours per week (flexible schedule; some evenings required for board meetings/events)
Reports To: Executive Director
Position Summary
The Executive Assistant provides high-level administrative, communications, and operational support to the Executive Director and the organization. This role is essential to ensuring efficient office operations, strong stakeholder communication, and successful execution of events and initiatives.
Key Responsibilities
Administrative Support
- Manage and maintain the Executive Director’s calendar, including scheduling appointments, meetings, and events
- Coordinate logistics for meetings, including preparation of materials and follow-up tasks
- Complete and process contracts using provided information, ensuring accuracy and timeliness
Communications & Marketing
- Design and schedule engaging social media content across platforms
- Update and maintain the organization’s website with current information, events, and announcements
- Create and send email communications to constituents using Constant Contact
- Assist with graphic design projects for events, campaigns, and organizational needs
Donor & Data Management
- Maintain and update the donor database, ensuring accurate and organized records
- Support donor communication efforts and reporting as needed
Board Support
- Attend monthly board meetings
- Record, transcribe, and distribute accurate meeting minutes in a timely manner
Event Coordination
- Assist in planning and executing organizational events, including logistics, promotion, and on-site support
- Collaborate with staff and volunteers to ensure successful event outcomes
Qualifications
- Proven administrative or executive assistant experience, preferably in a nonprofit setting
- Strong organizational skills with attention to detail and the ability to manage multiple priorities
- Proficiency in Microsoft Office/Google Workspace and familiarity with Constant Contact (or similar platforms)
- Experience with social media management and basic graphic design tools (e.g., Canva, Adobe Creative Suite)
- Excellent written and verbal communication skills
- Ability to work independently and maintain confidentiality
- Flexibility to attend occasional evening meetings or events
Preferred Qualifications
- Experience managing donor databases or CRM systems
- Familiarity with website content management systems (e.g., WordPress, Squarespace)
- Passion for nonprofit work and mission-driven environments
Compensation
- Hourly rate commensurate with experience
- $ 17 - $ 25 per hour to start
